Preparing for a board session
Share the agenda and participant list early, noting who will attend in person and who will join remotely. This tells us how many camera views and microphones are needed so every director can be seen and heard clearly, and which video conferencing platform your organization prefers.
Send board materials that will be presented on screen ahead of time, and let us know if certain sections should only appear on in-person displays. For sensitive discussions, we can plan the session so production staff step out once the technology is running.
Decide in advance whether anything will be recorded. Many boards keep sessions unrecorded, but a CEO update, investor message or leadership announcement may be filmed separately after the meeting while the studio is already set.
Plan the practical details. Confirm arrival times, any refreshment needs once the catering policy is confirmed, and breaks in the agenda for directors to step away. If remote directors are in different time zones, schedule a short connection test with them the day before so the meeting starts on time.
